THE ROLE
As a Wholesale Assistant, you’ll play a key role in the day-to-day operations of our wholesale business. We are looking for someone passionate about being part of a wholesale team for a fashion e-commerce business, bringing energy, curiosity, and commitment to delivering exceptional results. Whether you’re taking your first step into fashion wholesale or bringing existing experience, this role offers scope to grow and develop with us. You’ll help ensure our global partners have an exceptional experience, from order processing to marketplace management, while keeping the engine of our wholesale business running smoothly. Based within our Brighton HQ, you’ll work closely with internal teams and wholesale partners to represent the KILLSTAR brand in all interactions.

WHAT YOU’LL DO:
- Perform data entry, checking and reconciliation of wholesale orders.
- Create refunds and handle payment disputes, ensuring all financial records are accurate.
- Support with invoicing for each account and ensure the finance team has the relevant documentation.
- Manage the B2B and wholesale catalogue collection, maintaining imagery and product details.
- Support account queries and maintain consistent communication with partners.
- Assist with sample management for wholesale shoots, meetings, and shows.
- Help collate and prepare weekly, monthly, and quarterly wholesale reports, feeding back insights to the wider team.
- Assist with ad-hoc tasks and operational requests from management.
- Support new season launches, trade shows, and showroom appointments — creating line sheets, price lists, and order forms.
- Liaise with warehouse and logistics partners to coordinate shipments and resolve delivery issues.
- Recommend and implement improvements to wholesale processes and workflows.
- Support the day-to-day management of marketplace channels such as TikTok Shop, Amazon, and eBay.
- Use PLM and Shopify systems to monitor product performance and streamline communication between teams.
- Lead weekly, monthly, and quarterly wholesale reporting, contextualising findings for commercial use.
- Work with marketing to plan the wholesale marketing calendar and brief mailers for new collections.
- Train or mentor junior team members where applicable.
- Attend sales meetings to record key actions and help facilitate follow-ups.
- Collaborate with Design, PD, and Production teams to source samples and manage timelines.
- Own onboarding and management of new wholesale accounts, ensuring all details are accurate and complete.
WHO YOU ARE:
- 1 + years’ experience in a wholesale, e-commerce, or operations role.
- Hands-on experience with Shopify (product setup, order management, or reporting).
- Highly organised and detail-driven, with the ability to manage multiple priorities in a fast-paced environment.
- A confident communicator who builds strong relationships internally and externally.
- Proficient in Excel or Google Sheets, comfortable handling and analysing data.
- Excellent communication skills and can manage different projects simultaneously.
- Enthusiastic, with strong admin skills and a genuine passion for fashion and brand-building.
- Understands wholesale systems and processes, including Shopify and B2B operations.
- Able to support multiple departments with a positive, proactive approach
BONUS IF YOU:
- Confident analysing sales and stock data to support commercial decisions
- Exposure to marketplaces such as TikTok Shop, Amazon, or eBay.
WORK HOURS & LOCATION:
This role is based in our Brighton HQ. We operate a hybrid working pattern, 3-days a week working from our office, and 2-days working remotely. Our standard hours are Monday to Friday, 9am to 5pm, with half an hour lunch. 37.5 hours per week.
